eDiscovery Archiving Integration - How it Works & Configuration

 

Overview

This page describes the archiving auditing process executed by MNTS.

When using this service, Maintenance Service will send an archive of every conversation processed by eDiscovery in a configurable amount of time.

In addition, the service will send a daily summary containing the amount of messages and files sent over the last day.

The archiving is integrated with a third party archive vendor such as Global Relay or Enterprise Vault.

Essentially, the process goes as such:

  1. Users have a conversation, they send messages and/or files.

  2. eDiscovery processes this conversation and stores the files in the database if there are any.

  3. Once Maintenance Service runs the Archiving Integration process, it looks for all sessions and messages (text and files) that were added to eDiscovery since the last run time.

  4. Maintenance Service sends an email to the archiving vendor.

  5. The vendor proceeds to use the data to archive it.

Archiving Integration Routine

The integration routine is the process where messages are being processed and sent to a third party archiving system. Below is an example a of an archiving email sent to the email we configured in Email for sending content.

In the example you can see an archive of a conversation between the users alice@agat.live and david@agat.live containing messages and a file.

The email contains the file that was sent in the chat, a summary of the participants, their email, and the number of messages each one sent, and below in contains the conversation itself.

Daily Report

The daily summary report sends a summary of the amount of messages, files and total size of the archived content that was processed in the last day.

The report is sent to the email address you have configured as the Admin notification email recipient in the Notifications page. Below is an example of a daily summary report.

 

How to Configure Archiving Integration

Maintenance Service

Assuming you have an environment with Admin Portal and Maintenance Service installed, in order to use the Archiving Integration, you must:

  • Enable Maintenance Service

Notifications

Enable email notifications in the Notifications page in your Admin Portal.

  • Configure an SMTP service

  • Configure an Admin notification email recipient

eDiscovery

  • Enable eDiscovery

  • Check eDiscovery Source as API and or Proxy, depending on the customer’s setup.

  • Set Update eDiscovery Chat Participants to Yes.

  • Set Store files in SphereShield to Yes.

  • Enable eDiscovery Archiving Integration.

  • Configure the frequency in which you want MNTS to send eDiscovery archives to the third party vendor. The default value is 60 minutes.

  • Choose an eDiscovery Archiving Provider

  • Set X-GlobalRelay Header

  • Configure an Email for sending content - recipient of the routine auditing emails

  • eDiscovery Archiving Provider - Should pick Global Relay

  • Configure Archiving Email Max Size - maximum email size in MB - E.G. if you sent 10MB worth of files and the limit is 5MB, the email will be split into two emails with each file.

  • Configure Archiving Email Max Messages - maximum of messages per email - E.G. if the users sent a total of 11 messages and the limit is 10, in the email will be split into two emails, one with 10 messages and one with 1 message.

  • Configure UTC Time to send daily report - UTC time for sending daily summary (See more in the sub-section for the daily report).
