How to create action items during a meeting

AGI can pick up on tasks based on specific trigger words. Try saying things like “Agi, create a task for Bob to fix the bug by next week”, or “Create a task for Alice to analyze sales data from July”.

These tasks will be automatically picked up, created, and synced with your monday.com board of choice.

When you first sign into the Dashboard on monday.com, you will be asked to choose a default board. This is where tasks will automatically be created unless specified otherwise (learn more below).

Default Board

To create tasks in monday.com, you must first configure a default board. To do this, navigate to the board you want to be your default in monday.com and look for a number in the URL field at the top of your browser. Copy it and paste it into the Default board field.

You can view the default trigger words by editing the smart text configuration editor in the Virtual Assistant Settings section of the Admin Portal (soon coming to the Dashboard App itself)

Confidence Levels

You can configure trigger words to create tasks at different confidence levels. For example, you can set High and Medium confidence words to be automatically created as tasks and Low only to be suggested.

Prefixes and Implicit Phrases

There are two types of trigger words - Prefix and Implicit.

  • There are two types of trigger words - Prefix and Implicit.

    • Prefixes are simple phrases you can use to trigger insight creation. For example, if you want to create a task, the phrase "Create a task" will not be a part of the task at all-rather it will trigger an action item

    Implicit phrases can trigger insight creation, and the phrase will be a part of the insight - for example, “Follow up with” will trigger an action item and the phrase will be a part of the task.

Default High-Confidence Trigger Words

By default, high-confidence trigger words include “AGI” and its variations, and the word “Please”.

Examples:

  • If you say “Bob, please fix the bug by next week”, a task will be created for Bob, titled “Fix the bug”, and the due date will be automatically set to one week later.

  • If you say “Agi, create a task for Bob to fix the bug by next week”, a task will be created for Bob, titled “Fix the bug” and the due date will be automatically set to a later.

Settings

You can define the text analysis confidence level for suggested and created tasks in the settings.

  • Levels:

    • High - will only use high-confidence words

    • High, Medium - will use both high and medium-confidence words

    • High, Medium, Low - will use all confidence-level words.

  • Text Analysis Confidence Level - the confidence level AGI will use to suggest tasks when analyzing a meeting.

  • Confidence level for creating tasks directly from transcript - the confidence level AGI will accept to automatically create tasks directly in your task management system from a meeting transcript.

How can I activate AGI?

That's the easy part - all you have to do is record the meeting and ensure the transcript is active.

AGI performs its magic by utilizing the transcript of the meeting. If you want to have the transcript, recording, and meeting highlights all in one convenient, efficient location, simply record the meeting!

How does AGI pick up phrases? Do I have to say something specific?

At AGAT, we've put in a lot of effort and passion to create two easy ways to activate AGI.

The first one is called explicit mode, where you can directly talk to AGI and ask it to do things like creating notes or tasks. All you need to do is say "AGI, create a note/task that..." and it will take care of the rest! It's that simple.

The other method is called implicit mode, where you don't even need to remember that the assistant exists! You can continue with your daily routine and meetings, and AGI will be working in the background. It will identify trigger words that you can add to, like specific words you use to summarize your meetings. AGI will catch it and do its magic! For example, if you like to summarize your meetings in a certain way, you can add it to the list of trigger words and AGI will catch it.

See important information related to a meeting on the Assistant’s page! The info page gives you the following information:

  1. Meeting Title.

  2. Meeting`s start Time.

  3. Duration of Meeting.

  4. Number of Participants.

  5. Participants. (Emails)

  6. Meeting Organizer.

  7. Video Link.

  8. Video Password.

  9. Meeting ID.

 

Content

You can now access the transcript and recording with ease. Not only that, but you also get to enjoy speaker identification and the option to jump to any moment in the recording just by clicking on it in the transcript. Plus, the transcript and recording are placed side by side, making it super easy to follow along.

Agenda

Navigate to the agenda Tab and see what the Agenda for the meeting was.

It's as easy as that, you can also post the Agenda in the Chat for discussion with a single press of a button.

A great example of how to use AGI's Agenda feature is saying “AGI, the agenda for this meeting is 1…2…3…” and it will capture that!

Summary

If you head over to the summary tab in AGI's portal, you'll get two awesome benefits. Firstly, you'll be able to see the basic summary that AGI captures. You can easily activate this by chatting with AGI directly and asking for a summary of the meeting.

The best part is that AGI can generate an AI-generated summary as well! This summary is perfect for those who couldn't attend the meeting or those who need a quick refresher. AGI creates both a short and long summary, so you can choose which one works best for you. Give it a try and let AGI help you out whenever you need it most!

Action Items

Imagine you're in a meeting with your team and you assign tasks to each person. After a few weeks, you realize that one task was forgotten. It happens to the best of us! But with AGI, you can integrate it with your task management system to ensure that every task is accounted for. So you won't have to worry about anything slipping through the cracks.

AGI picks up action items (Tasks) based on the transcripts and gives you the ability to accept or reject the task, then with a click of a button send them to monday.com, Asana, or Planner for easier tracking.

There's more to share about AGI! It can make your life easier by recognizing who should handle a specific task and when it's due. For instance, you could say, "AGI, can you set up a task for John to get printer ink next Tuesday?" AGI will process it and generate a task called "Buy printer ink" for John, with the due date set for next Tuesday.

You can also reject tasks, edit before approval and even post for discussion in the Chat!

Decisions

Navigate to the “Decisions” tab in the portal, and there you will see all of the decisions that were stated in the meeting, for example, “AGI, Please create a decision that we are replacing a few lines of code in our software”. AGI of course will pick this up and you can then view them in the dedicated “Decisions” tab.

Notes

Creating notes is just as simple as the other tabs. All you have to do is tell AGI, “Hey AGI, can you create a note that…” and voila! You can easily access all of your notes in the designated “Notes” section on the portal. Plus, you can share them with your team for feedback and discussion in the chat. It's a breeze!

Sentiments

Sentiment Analysis is one of AGI's strongest features. It gives you an overall score on how the meeting went and a percentage of how positive, neutral, or negative the communication was. Using sentiment analysis is a great way to gather feedback and determine if there are any issues. It's possible that your customers aren't responding well to your sales pitch, or you may want to check in on your employees' morale, especially when it comes to those lengthy and mundane tasks. Either way, sentiment analysis can help you get a better understanding of how people are feeling.

If you're wondering about where to find Sentiment Analysis, it's actually available in a couple of places. Firstly, you can check it out next to the transcript - just look out for the green symbol for positive communication and the red symbol for negative communication. Alternatively, you can find it on the Sentiment Analysis Tab where you'll be able to see the spread of sentiments throughout the entire meeting. AGI short actions

If you want to stop receiving notifications from AGI or start receiving them again, simply write to AGI:

“Stop notifications” or “Start notifications”.
